About the Role
Trans Mountain is seeking a motivated, collaborative person aligned with our values to join our dynamic team as an Administrative Assistant. In this role, you will play a key part in delivering administrative and clerical support services to ensure efficient and effective office operations and support the work of management and other employees.
Main Responsibilities
- Provide general administrative assistance, including mail organization, telephone response, photocopying, paper/electronic filing, and document preparation and control, including manual updates.
- Maintain files and process documentation specific to the business sector.
- Coordinate meetings, travel arrangements, and office services, including supplies and equipment maintenance.
- Participate in safety meetings and emergency response drills, and support other field functions such as cost-effectiveness awareness, landowner notices and distribution documents, and supplier functions.
- Provide data entry, scanning, and administrative support services across company systems, including D365, ADP Workforce, BMO Opti-spend, Totara, and internal systems for reporting unauthorized activities and operational incidents.
- Assist with departmental financial administration, including budget establishment, invoice coding, BMO card coding, employee expenses, new supplier setup, and procurement activities in D365 and BMO Opti-spend.
- Communicate with internal groups (head office services, other districts) and external parties (public, suppliers, consultants).
Qualifications and Experience
- College diploma or equivalent.
- Post-secondary training in management systems, Microsoft Office, word processing, accounting, or related field considered an asset.
- At least three years of experience in administrative support, preferably in the oil and gas or industrial sector, and solid knowledge of office administration.
- Advanced proficiency in Microsoft Outlook, Word, and PowerPoint.
- Intermediate proficiency in Microsoft Excel.
- Excellent proficiency in OneNote, Teams, and SharePoint.
- Emergency response and safety training is preferred.
- Conflict resolution skills and ability to interact with the public.
- Demonstrated ability to deliver high-quality work, manage competing priorities, and support key operational processes or functions.
- Demonstrated ability to work effectively with colleagues and stakeholders from diverse backgrounds and levels within an organization.
- Effective communication skills, including ability to convey information clearly, respectfully, and professionally.
- Proven organizational skills and ability to manage priorities, meet deadlines, and maintain attention to detail in a dynamic environment.

Working Conditions

Priority for Indigenous and Local Communities
Priority will be given to qualified candidates from Indigenous, local, and regional communities located along the Trans Mountain pipeline corridor.
In Alberta, the pipeline network crosses the traditional territories covered by Treaty 6, Treaty 7, and Treaty 8, and the Métis Nation of Alberta (Zone 4).
In British Columbia, the network crosses the traditional territories of many First Nations affiliated with the Secwepemc, Dakelh (Carrier), Nlaka'pamux, Syilx/Okanagan, Interior Salish, Coast Salish, Stó:lo, and Métis.
Trans Mountain also operates on 15 First Nations reserves located in the region extending from interior British Columbia to the Fraser Valley.
