Business Process & Systems Lead
PolariumAbout the Role
The Business Process & Systems Lead takes a strategic step back to map how processes actually run across the organization, challenge whether they should run that way, and translate that into a clear view of what systems and ways of working need to change. You will report to the VP of IT, sitting within IT but working across the entire business as a bridge between the business and technical teams.
Responsibilities
- Own how business processes and systems come together across the organization, acting as the bridge between the business and IT
- Lead an initial structured audit of current state — mapping core end-to-end processes across the whole organization, including Sales, Service, Supply, and Order & Delivery — and deliver a prioritized view of where the biggest gaps and wins are
- Partner with stakeholders across the business to continuously map, rethink, and improve how we work
- Facilitate the conversations that surface the real problems, not just the symptoms people bring to IT
- Work nimbly using Miro and similar tools rather than heavy methodology
- Challenge before building — ask whether the right answer is a system change at all, or whether the process itself needs to be reworked first
- Push back constructively on requests that don't hold up to scrutiny, and make that pushback land well
- Drive change beyond IT — initiate and mobilize stakeholders across the business to own their part of the improvements, ensuring development happens wherever it needs to, not just within IT
- Work closely with the IT team, leaning on their deep system expertise while bringing a solid baseline understanding of business systems yourself
- Surface when a request might duplicate or conflict with what existing platforms (Salesforce, Business Central, Arena, Fabric and Power BI) already do, and flag it for IT to assess — rather than designing the solution yourself
- Frame business problems clearly enough that IT and other teams can take them forward into solution design and delivery
- Ensure IT's roadmap reflects what will actually move the needle for the business, not just what's loudest or most recent
- Own change adoption — bring people along, build buy-in, and make sure improvements actually land and stick
- Maintain a living view of the process and systems landscape so decisions are made with the full picture in mind
Required Experience
- Several years of experience in business analysis, process improvement, or a similar systems-meets-business role
- A solid baseline understanding of CRM and ERP platforms (exposure to Salesforce and Business Central a plus), and the ability to quickly grasp what business systems can and can't realistically do when working with technical colleagues
- Comfortable stopping at the problem definition — you don't need to be a solution architect, and you trust IT and the business to design the how once you've framed the what
- A facilitator at heart — you can run a workshop with Sales in the morning and Supply in the afternoon, and both will feel heard
- Comfortable pushing back. You will often be the person saying "let's not build that yet" — and making it land well
- Able to mobilize stakeholders outside of IT — you can get people across the business to own and drive their part of a change, not just wait for IT to deliver
- Structured thinker who can hold the big picture while still going deep on the details
- Pragmatic about methodology — you use the lightest tool that gets the job done
- Excellent communicator across technical and non-technical audiences
Nice to Have
- Experience with Arena or other PIM tools
- Familiarity with Fabric, Power BI, or other data platforms
- Exposure to change management frameworks
